The challenge
Before working with Studio73, Polo Club faced a complex scenario:
- Management scattered across several systems and Excel files.
- Information silos between departments.
- Limited and unreliable stock control.
- Slow processes that affected decision-making.
This fragmentation prevented a unified view of the business and affected day-to-day agility and the ability to grow at the pace the market demanded. At Studio73, as an IT consultancy specializing in business digitalization, we analysed their operations in depth, identified the critical points and evaluated different solutions.
The goal was clear: unify all operations in a single ERP integrating
sales, purchasing, warehouse, administration and online channels.
This would ensure full traceability and optimize the work of each area.
The approach
After a thorough analysis of flows, operations and future needs, it was determined that the most efficient solution was to implement a unified ERP.
The chosen tool was Odoo, thanks to its high degree of customization and its adaptability to the retail sector, which made it possible to cover current processes and prepare the company for the challenges of expansion. This phased approach ensured an orderly transition, solving immediate inefficiencies and laying the foundations for a scalable and flexible long-term system.
The project was approached with a phased roadmap, prioritizing critical processes and ensuring an orderly transition. This methodology made it possible to solve immediate inefficiencies while laying the foundations for a scalable, flexible system aligned with Polo Club’s strategic goals.
Definition of the phased roadmap
Optimization of warehouse processes as the starting point.
Integration of sales, purchasing, administration and online channels.
Implementation of specific tools for multichannel management and stock control
In addition, initial performance issues were solved, significantly reducing processing times and ensuring the scalability of the system for future growth.
Putting it into practice
The initial implementation covered warehouse, purchasing, sales, administration and accounting. After the good results, Polo Club extended the scope to:
- Customer Service
- Quality
- Human Resources
With the migration to Odoo v17, adaptability and integration were strengthened, allowing all areas to work on the same database, without duplication and with full traceability.
Key integrations were also added:
- Stock management on Amazon (FBA and FBM).
- Connectors with Shopify, Outvio, ShowRoomPrive and Veepee.
- Supplier portal for packing lists and labels.
- Automatic upload of invoices to the SII.
- Control of multichannel virtual stock.
The result
The digitalization and process integration strategy has delivered measurable results:
Growth in internal users:
From 33 in February 2024 to 72 in 2025.
Optimized warehouse times
and fewer errors in stock control. Today, Polo Club’s warehouse has doubled its performance compared to the previous system.
Portal users:
23 active suppliers managing their own packing lists and labels.
Workforce growth
From 112 to 150 employees in one year.
Greater multichannel control
thanks to integrations with marketplaces and
e-commerce.
The future
Polo Club continues to optimize its logistics by working with 3PL (Third-Party Logistics) warehouses. This strategy allows them to outsource part of their logistics operations, improving efficiency, reducing costs and speeding up delivery times.
This approach also gives them the flexibility to focus on growth, adapting to an ever-increasing sales volume while improving the scalability of their operations.
